POSITION OVERVIEW:
Oversee CMA’s end of the supply chain bringing in our company’s products and services and shipping them out to customers. Inventory management is the strategic administration of inventory to reduce inventory costs and improve product quality. Although most of the responsibilities deal with supply-chain management, inventory management issues are key, as well.

POSITION OVERVIEW:

As an Executive Assistant you will work to manage and execute all personal duties for Dr. Charles Runels. You may be talking to a medical doctor or PhD one day and helping clean the office the next.  You may be travelling to a conference in London or Los Angeles, or you may be arranging to have the car washed.  If you’re not already walking or jogging 25 miles a week or the equivalent, you probably won’t be able to keep up.

You must be able to type 50 wpm or more (test yourself here).  You will be tested. If you can’t type that fast, do this typing course and get to that speed before you apply–it will make most jobs anywhere go faster.

You must very happy talking about beauty procedures or sex including love making between husband and wife, husband and husband, and wife and wife. You do not need a medical degree. A strong background in teaching, business, sales, or cutomer service will help temendously.

You’re already organized and very healthy (fair or not, Dr. Runels will be judged on your health–good or bad). You maintain a detail oriented, flexible, and confidential approach to your work.

This is not an easy job but it can be outrageously interesting and rewarding & will put you in contact with amazing people in many countries in a mission worthy of your life’s work (“improving health, sex, and family worldwide”).

o Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

o Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

o Maintains customer confidence and protects operations by keeping information confidential.

o Provides historical reference by developing and utilizing filing and retrieval systems

o Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

EMPLOYEE BENEFIT PLANS

CMA values the contributions of each employee and shows it by providing a
comprehensive benefits package. We offer two different types of employee benefits:

Insurance

Health
All employees classified by CMA as full-time employees are eligible to participate in the Company’s basic health insurance plan through Blue Cross Blue Shield starting the first day of the month following 60 days of full-time employment. CMA pays the premiums for this coverage.

All employees classified by CMA as full-time employees are eligible to participate in the Company’s basic health insurance plan through Blue Cross Blue Shield starting the first day of the month following 60 days of full-time employment. CMA pays the premiums for this coverage.

Gym Membership

Education Reimbursement
One of CMA’s core values is, “Always be Learning and Growing.” Our feeling is that a well-rounded education inside and outside of the working environment enhances an employee’s skill set and makes him/her more engaged with the organization and more valuable to the company. To support this value, we offer the benefit of educational reimbursement to all employees, according to the following guidelines:

• We will reimburse employees for 50% of tuition costs for any accredited coursework in any
subject, granted that:

– The employee submits a request for reimbursement no later than three months after
completion of the class.

– The employee completes the course with a grade of B- or better and provides an official
copy of his/her transcript to HR.

• If the employee can demonstrate a direct benefit to his/her current role, he/she may request a 100% reimbursement of tuition costs. This will be considered by his/ her manager and then the management team. Such a request will include a written, one-page proposal detailing how the skills obtained will enhance his/her skill set in his/her current position and/or how the skills will allow the employee to take on new responsibilities. This document is to be signed by the
employee and the manager.

• If the tuition/registration fees for any request are cost-prohibitive, the employee may request an advance in his/her reimbursement, which will be considered (but not guaranteed) by the management team. The amount advanced shall not exceed the amount of the employee’s monthly salary.

• If an advance reimbursement is granted, and the employee fails to meet reimbursement criteria listed above for ANY reason, he/she will repay the advance in value increments deducted from his/her paycheck as determined by the Management team.

Each employee is eligible to receive a maximum reimbursement of $1,500.00 per year

CMA’S VACATION POLICY

As a benefit to exempt employees, CMA offers two weeks of Paid Time Off.
The goal of this PTO
Policy is:
1. To provide flexibility and autonomy to each employee, supporting a culture of work/life balance
2. To encourage a motivated, performance-driven work environment. As such, this policy supports our goals of promoting a culture of personal responsibility and mutual trust.
CMA encourages its employees to take time off to relax and recharge when needed; time off helps individuals return to work invigorated and ready to produce their best work. However, exempt employees often must monitor and manage their work load at all times. CMA also trusts its employees to make reasonable decisions regarding PTO. Commitment to one’s job responsibilities is a key component to the success of this PTO Policy.

The Company realizes that exempt employees, as needed, check email and voicemail or perform other forms of work, when necessary, while away from the office.
According to CMA’s Vacation Policy, an employee may request two weeks off with the following stipulations:
• This benefit is only available to salaried, full-time employees who have reached 90- days of
employment at CMA.
• In line with CMA’s value of “Own Your Results,” this PTO policy necessitates that each
employee is committed to, and held responsible for, the duties outlined in his/ her particular role.
Regardless of the number of PTO days taken, each employee will be held to the performance
expectations of his/her job, as documented by individual and department KPIs. This means that if performance is suffering, a particular PTO request may not be granted until KPIs improve, and
disciplinary action may be taken.
• PTO days need to be requested in advance in writing and approved by one’s manager.

HOLIDAYS

Due to the nature of our business, we have customers all over the world. Although there are several universal holidays, many are limited to the United States. In order to accommodate our business needs, our Company observes both paid and unpaid holidays.
The office will be closed on the following paid holidays:

If a holiday falls on a weekend, the Company will inform you when/if the holiday will be observed.

Client Success Representatives of the Cellular Medicine Association serve as an essential link between our engineering team, fulfillment, and our physician team (our teachers and in-house physician, Dr. Runels) and our user community of very brilliant, innovative, brave, and motivated physicians.

The Client Success Team responds to customer (physicians, patients, and industry leaders) inquiries and provides user guidance through the software and telephone interactions. You will also help with our live workshops.

We are looking for individuals with a positive attitude, problem-solving skills, and excellent written and verbal communication skills. A successful candidate will be comfortable helping strangers, have a friendly demeanor and will be willing to go the extra mile. We are a technology company, so technical experience is a plus. However, all representatives go through our new hire training course before being exposed to customer issues, so individuals of all levels of technical skill levels are encouraged to apply. Responsibilities

Provide friendly and efficient service to the worldwide Cellular Medicine Association community

Be the first point of contact to handle and resolve user questions

Conduct Client Success calls to on-board new clients while providing proactive support and education through implementation

Respond professionally to inbound phone calls, tickets, and chats (including urgent situations)

Monitor social media to proactively create tickets on clients’ behalf

Identify and escalate issues appropriately to the Technical Support, Billing, and Fulfillment team.

Compose thoughtful and thorough messages or customize prepared responses to tickets and chats

Research information and troubleshoot problems using available resources

Provide dispatch for all incoming inquiries

Monitor and control numerous concurrent tasks

Proactively and independently work to meet targets and goals

Identify ways to improve the customer experience

Identify ways to increase the efficiency of the team
Requirements

Must be available for a regular schedule of 40 hours a week, spanning weekends and holidays (as our customers need us all over the world); shifts may include evening or early morning hours but you will have four weeks off for vacation.

Physical Demands

Must be able to remain in a stationary position for long periods of time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer & telephone and other office productivity machinery, such as a copy machine and computer printer.

The person in this position frequently communicates with customers to answer their inquiries and guide them through the software. Must be able to easily exchange accurate information over the phone in these situations.
