CMA Career. Executive Assistant.

Charles Runels, MD

POSITION OVERVIEW:

As an Executive Assistant you will work to manage and execute all personal duties for Dr. Charles Runels. You may be talking to a medical doctor or PhD one day and helping clean the office the next.  You may be traveling to a conference in London or Los Angeles, or you may be arranging to have the car washed.  If you’re not already walking or jogging 25 miles a week or the equivalent, you probably won’t be able to keep up.

You must be able to type 250 characters (or strokes) per minute (50 words per minute) or more (test yourself here).  You will be tested. If you can’t type that fast, do this typing course and get to that speed before you apply.

You must very happy talking about beauty procedures or sex including love making between husband and wife, husband and husband, and wife and wife. You do not need a medical degree. A strong background in teaching, business, sales, or cutomer service will help temendously.

You’re already organized and very healthy (fair or not, Dr. Runels will be judged on your health–good or bad).

You maintain a detail oriented, flexible, and confidential approach to your work.

This is not an easy job but it can be outrageously interesting and rewarding & will put you in contact with amazing people in many countries in a mission worthy of your life’s work (“improving health, sex, and family worldwide”).

PRIMARY DUTIES:

• Personal Assistant to Dr. Runels

o Prepare some meals

o Execute Personal Errands, return phone calls

o Purchase and organize personal items/gifts

o Manage shopping

o Coordinate personal appointments

o Laundry

o Manage Dry Cleaning

• Office Duties

o Prepare for, attend, and support workshops

o Prepare for, attend, and support some out of town events

o Conduct office supply runs

o Miscellaneous errands

o Take care of Dr. Runels’ office (including cleaning, if it bothers you to sweep or take out the garbage, this is not the job for you)

o Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

o Conserves executive’s time by reading, researching, and routing correspondence;

o Maintains & schedules Dr. Runels patient appointments, and Botox® parties

o Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

o Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries. You will be having conversations with people from every walk of life and from many countries.

o Maintains customer confidence and protects operations by keeping information confidential.

o Provides historical reference by developing and utilizing filing and retrieval systems

o Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

• Executive Assistant Skills and Qualifications:

o Writing Skills, Reporting Skills, Supply Management, Scheduling, Apple App Skills, Organization, Time Management,  Travel Logistics, Verbal Communication-social and business, Typing skills of 50 words per minute

ANCILLARY DUTIES:

• Proactively improve all systems and processes on a continual basis.

• This description is subject to change at management’s discretion.
